The Artscape team set out to exhibit every art form in a way that showcases art on the world stage. Their vision was to create spaces where each art field could stand out, while also bringing them together in a unified celebration.

The result is an all-day, outdoor exhibition featuring 5 art exhibits, 1 interdisciplinary main stage, and a festival where all forms of art converge.

Creating The Experience

The production team wanted to give each art form a section of their own, no creative field an afterthought. To do this, the event grounds of Alumni Park were split by exhibit areas, allowing free movement between them yet each with their distinct place.

All roads lead to the Main Stage, with seating for 600 and refreshments for attendees to enjoy throughout the 7 hour event. Event passports encouraged attendees to explore all the exhibits, stamping their passport at each section to cash in for a final prize. The passport includes a full schedule of 35+ activities, informing attendees of all there is to explore.

Organizing a team of 13 individuals to outreach, operate, market, and film the event called for a centralized hub for updates. A master spreadsheet kept all team members up to date on confirmation details, event timeline, and the 7 hour run of show.

Day of event included managing 26 crew members across 6 main areas of attendee interaction. From working the info booth to crowd control, every crew member was briefed on the event workings.

The pre-planning and risk management allowed for a clean run of event, with any fire put out and every task delegated to a prepared crew.
